Following the advice given in the Organizing a Road race for Charity link, I think the work required to be done for organizing the race can be broken down as follows, and handled by different people / teams:
- Spreading the word:
- Preparing the flier; assigning responsibility to volunteers to distribute the fliers; have the fliers posted in the local Gymnasiums, sports fields, etc.
- Managing the course set-up & marking the course:
- Identifying the possible type of race events that can be organized in JP Park, and setting the course for each of them. Measuring the distances and marking the courses for all the races.
- Creating registration form that includes the following:
- Name
- Contact information
- Age on Race day
- Race event they want to participate in
- Gender
- T-Shirt Size
- The registration form should also give information about the course, start time, and what they will expect - T-Shirt, food, drinks, prizes, etc.
- The registration fee details (I think there should be a registration fee for each event - that will ensure that the people who sign up will be serious about the participation. Lets discuss the pricing of the events through mails)
- In races I have participated in the US, there is usually a waiver that participants should sign that releases the organizers from any liability. Not sure if this is required in India (Should this be included as well?)
- Arranging for T-Shirts:
- Designing the T-Shirt with Logo of Runwalkindia & the logo of sponsors
- Arranging for getting the T-Shirts manufactured, and delivered before the event date.
- Arranging for Awards:
- Deciding on all the prizes to be given as part of the event. Each sub-event can have prizes by age-group and sex
- There might be some special prizes as well - like the youngest and oldest participants, people who inspired everyone with their participation against the odds, people who contributed to making the event popular and successful, etc.
- Arranging for all these awards.
- Arranging for food and water:
- Arranging for water is a must.
- Arranging for food items - such as biscuits, fruits, cakes, etc. optional and preferably based on sponsorship.
- Arranging for first-aid and medical staff?
- The medical staff and ambulance may have to be on stand-by just in case.
- Managing registration:
- Having the participants register for their preferred event by giving their details and paying the registration fee. The E-mail ID and the phone numbers on the Flier should be for those people who will be managing the race registration.
- Finding sponsors:
- Local stores, radio stations, Gymnasiums, companies as well as national / global corporations will be willing to pay for putting up their names and logos in the Flier, web-page, T-shirts, advertisement banners at the event, etc.
- Finding volunteers:
- The organization of the event will require a lot of volunteer work - for managing the registration, for distributing the T-shirts and other goodies, for informing the participants about the various details of the race events, for providing directions during the race and about the remaining distance, etc.
- Best if some school children be involved for most of the volunteer responsibilities.
- Timing the race & other technical details:
- Perhaps Runnersforlife organization can help in this, as they have the experience in organizing races before.
Perhaps some of the above are not required, and some others may be required. Feel free to comment on this note about what else needs to be done or what can be omitted. If required add a new post as well.
